Office Coordinator / Accounting Assistant
Chippewa Manor has an opportunity for an Office Coordinator / Accounting Assistant in its Business Office. This job supports campus accounting and business administration functions. Responsibilities include answering and routing phone traffic, providing Customer Service to incoming visitors and vendors, helping with Accounting and Human Resources tasks as well as management of office supplies, equipment and communication resources. This position performs clerical services, bookkeeping support and data entry. It helps set appointments, schedule meetings and organize meeting room space usage schedules.
Summary:
- Full-time status (40 hours weekly)
- Monday – Friday day-shift position
- Salary range is $17- 20/hr
- Paid twice monthly
- This position is part of the Chippewa Manor Business Office
Duties & Responsibilities Include:
Office/Clerical/Accounting/Human Resources Support:
- Greeting and directing office visitors
- Accepting payments from clients/residents
- Answering and directing incoming and outgoing phone traffic
- Sorting and dispersal of incoming and outgoing mail / internal mail
- Filing / copying
- Coordination of Business Office supplies and equipment
- Accounts Payable support
- New hire and other employment paperwork
- Nurse Aide Registry checks
- Background checks
- Reference Checks
- Maintain staff evaluation schedule and distribute to department heads
- Assist with CNA class coordination, in-house staff training and competency testing
- Maintain Insurance Certificates
- Bank deposits and post office trips
- Remote check deposits
- Report and spreadsheet development and maintenance
- Assist with admission and referrals
- Salon appointment and supplies support
- Chapel scheduling and supplies support
- Maintenance of Family Meeting Room scheduling
- Resident Trust and Convenience Store purchase accounting
Communications Support:
- Organization of communications supplies – letterhead, envelopes, absence slips, etc…
- Marketing / promo packet distribution / organization
- New admit packets
- Chapel bulletin distribution
- Distribution / placement of signage and notices for guests and visitors
- Employee notices / signage / posters
